Position / Placement: People Services - Mobilization Team - Mobilization Coordinator Volunteer

Join the world's largest humanitarian network - the Canadian Red Cross Society: a non-profit, humanitarian organization dedicated to helping Canadians and the most vulnerable throughout the world.  We are seeking People Services volunteers to join our Mobilization Team to support our unified workforce of employees and volunteers.  You’ll support day-to-day operations and mobilize personnel during our disaster response period of April to September – our busiest period of emergency response.
Our Mobilization Team provides exceptional service to volunteers and employees responding to emergencies by assigning them to short term-assignments, both locally and across Canada. As a member of our Mobilization team, you’ll use your attention to detail to follow established processes to identify, schedule and deploy personnel to meet workforce priorities and provide an exceptional mobilization experience for our dedicated personnel.
During active response, the work is fast paced and demanding, with quickly changing requirements. Our successful volunteers thrive under pressure, can manage multiple priorities simultaneously, and are highly collaborative. In times of active emergency response, flexible working hours and the ability to handle short deadlines is required.

RESPONSIBILITIES

  • Supporting the mobilization of emergency responders. This includes scanning availability and providing start-to-finish service for scheduling and deploying personnel through outbound calling, messaging and email communication.
  • Providing insight and support to your Mobilization supervisor on workforce planning and operational requirements and ensuring workforce planning gaps are fulfilled.
  • Ensuring accurate personnel data and records are in place and maintained to meet privacy and risk management requirements.
  • Coordinating and tracking travel arrangements for deploying personnel.
  • Contributing to work practices to ensure focus, efficiency, excellent customer service, and well-being of team members.
  • Participating in operational debriefs to promote an environment of continuous improvement.
  • Timely forecasting and communicating challenges in meeting priorities and escalating to your Mobilization supervisor when needed.
  • Supporting other Red Cross initiatives to meet the needs of the most vulnerable in the community.

  • Superior time management skills, diligence in process execution and personal organization skills to manage multiple priorities and communications
  • Professionalism, personal accountability, and exceptional interpersonal skills to work collaboratively within a team and establish and manage productive internal and external relationships
  • Strong verbal and written communications skills in English and/or French.Fluency in French is highly desirable
  • Strong administrative skills and experience
  • Computer literacy including Microsoft Office Suite and database skills are required

In addition, the following skills are considered an asset:

  • Understanding of Red Cross role in disaster response, relief and recovery
  •  Experience working in an emergency response setting
  •  Experience working in a virtual or remote team environment
  •  Ability to work in a fast-paced and often ambiguous conditions that require long hours of work in a demanding context.

WHAT MAKES YOU GREAT

  • Education in Human Resources, Volunteer Management, Business Administration or related field and/or equivalent experience
  • Demonstrated experience in Human Resources, volunteer management, customer service or hospitality industry at any level
  • Excellent interpersonal skills, including handling interactions with colleagues
  • Self-learner, high degree of autonomy and proven organizational skills
  • Exceptional accuracy and attention to detail

WORKING CONDITIONS

  • The majority of the work is performed in a typical office environment and can be a combination of work within the Canadian Red Cross office and occasional agreed upon time to work from home
  • Based on operational requirements, this volunteer position may include self-scheduling in coordination with the direct supervisor
  • Ability to be on-call, work shifts, non-traditional and longer hours on short notice
  • As this volunteer opportunity requires training and stability to best serve our clients, we are asking for a commitment of at least 5-7 hours/day for a minimum of 2-3 consecutive days per week during response season
